This mortgage originator was unable to close all of the loans they could every month since they couldn't get all of the required documents faxed in or out when needed. At one point a fax was being dropped for each one getting through due to busy lines. Phone carrier statistics showed that some offices needed to quadruple their capacity to avoid busy signals. I designed a system that provided capabilities for increasing local fax capacity with fault tolerance and the ability to fail a system over to another office and use email to return the faxes to their original recipient. The first month the system was in operation, no faxes were dropped due to busy signals and business closed increased noticeably.

  • Mortgage originator with nationwide market could not close all possible loans each month because the loan file lacked documents that needed to be faxed in and could not get through

  • Existing fax system also required full time monitoring since lines would get "stuck" off-hook further reducing capacity

  • System design had not anticipated this growth rate when it had been installed several years prior

  • I was tasked with remedying the situation and had been given 45 days to get the first systems up and running

  • I developed a configuration that leveraged one vendor's ability to "gang" several fax servers into a single pool of lines

  • I upgraded all of the fax telephone lines from single analogue lines to T-1 circuits (24 simultaneous conversations on a single physical line) at all locations, tripling or quadrupling line capacity at each office

  • Implemented a spoke and hub configuration so that faxes received at any office could be rerouted to another office via email through the headquarters email hub

  • I developed monthly fax metrics for IT and business management to illustrate the operational performance of the new system

  • The system eliminated fax not received incidents the day it went into production and eliminated the need for a full time person monitoring it continuously
